Position Overview

We are seeking a highly organized and proactive Admin Assistant to support the leadership team. The ideal candidate excels in a structured remote work environment and is skilled at juggling multiple administrative tasks while ensuring smooth and efficient internal operations.

Location: Fully Remote (Work from Home)
Working Hours: 9 AM – 5 PM EST


Key Responsibilities

  • Calendar & Scheduling Management
    Coordinate complex schedules across time zones, manage leadership calendars, book meetings, and ensure timely appointment handling.
  • Notion & Knowledge Management
    Maintain organized Notion workspaces to ensure easy access to essential information, project updates, and workflows.
  • Google Drive Organization
    Create a well-structured file system in Google Drive—organizing folders, managing document access, and ensuring efficient asset retrieval.
  • Task Coordination
    Track and prioritize leadership tasks and deadlines, ensuring nothing falls through the cracks.
  • Communication Support
    Facilitate smooth internal communication by acting as a liaison between leadership and internal teams, and following up on key initiatives.
  • Document Preparation
    Draft, edit, and format internal reports, slide decks, and other critical documentation.
  • Ad-Hoc Administrative Tasks
    Provide general support such as conducting research, data entry, and handling other operational needs as they arise.

  • Efficient Scheduling & Communication
    Smooth calendar management and clear, timely internal communication.
  • Organized Systems & Workflows
    Consistently maintained and optimized Notion and Google Drive for fast access to critical information.
  • Proactive Administrative Support
    Anticipating team needs and managing key tasks independently with strong initiative.

Required Qualifications

  • Experience
    Minimum 2 years in an administrative assistant or similar role, especially supporting executive or leadership teams.
  • Tech Proficiency
    Solid expertise with Google Workspace (Docs, Sheets, Calendar, Drive) and Notion.
  • Organizational Skills
    Meticulous attention to detail with the ability to manage multiple priorities effectively.
  • Communication
    Strong verbal and written communication skills.
  • Independence & Initiative
    Self-motivated, dependable, and comfortable in a remote-first environment.

Preferred Qualifications

  • Experience working with fully remote teams
  • Familiarity with automation tools like Zapier
  • Exposure to project management tools such as Asana or Trello
  • Prior experience providing executive-level support
